Location: Canada – located in the Greater Toronto area, the incumbent is required to work from the Toronto office five (5) days a week and attend organizational team meetings bi-annually within the Greater Toronto area.

Salary: the salary range at $49,000 to $58,000 per annum based on an assessment of skills and experience at interview stage

As the Development Coordinator, you will report to the Philanthropy Manager and work in collaboration with the fundraising and administration teams for World Animal Protection in Canada. You are fluently bilingual (French & English) and your role will focus on the delivery of exceptional donor services through phone, email and in-person interactions. It also involves conducting prospect research and assisting with mid-level and legacy donor programs. Additionally, the role manages office administration, including reception duties, general office operations and support for senior staff. The role.

What will you be doing?
Office Administration
• Act as main point of contact for answering general inquiries via phone and email in both English and French and forwarding to the appropriate staff member for further response.
• Processes returned mail including obtaining current mailing and contact information from donors.
• Support the maintenance of database records including data entry, updating donor information, and generating reports as needed.
• Help ensure data accuracy and integrity to facilitate effective donor communication and stewardship.
• Oversee maintenance of in office inventory including liaising with staff, placing orders and confirming shipments.
• Liaise with building property management and other vendors as needed around operational and facilities issues (such as ordering new furniture, coordinating construction in office, improving facilities, etc.).
• Manage flow of mail and couriers for the office, both incoming and outgoing.
• Maintain general tidiness of office (kitchen, reception area, boardrooms, mailing area).
• Onboard new employees with computer, phone, office equipment and other related office systems and procedures.
• Provide ongoing support and training to staff on use of office equipment.
• Maintain working knowledge of all office equipment (including phone, photocopier, mail machine, board room technology)
• Ensure IT consultant responds to and resolves IT issues in a timely manner
• Coordinate logistics for board of directors' meetings with Executive Director.
• Assist staff with administrative duties if required (processing mailings, printing and photocopying etc.)
• Provide logistical support for events including all staff meetings. This may include booking venue, invitations, food and beverage coordination and event materials.
• Other duties as required by the Country Management Team (CMT).

Fundraising
• Complete one-off French translations for staff
• Review general French language translations for accuracy (for example appeals, web stories, newsletter stories)
• Summarize and brief staff members verbally or in writing when they receive French correspondence.
• Conduct prospect research for major gifts, mid-level and planned giving donors using iWave and other desk research methods.
• Help organize educational webinars or workshops for supporters.
• Support with the administration of legacy gift estate records.

Volunteer Management
• Manage volunteer program including recruitment, scheduling and training
• Work with fundraising team to track and analyse supporter calls and emails
• Coordinate fundraising volunteers

Who are we looking for?
Someone who meets the following criteria:

Strong researching skills for prospect research to grow the pipeline, and to research content for fundraising solicitations.
Strong Interpersonal skills.
Ability to think of different strategies to engage audiences.
Ability to communicate impact and tell a story that resonates with donors.
Understanding and respecting diverse perspectives, cultures, and backgrounds to help build relationships with donors and engage prospects.
Proficiency in data analysis tools and techniques can help in interpreting data, identifying trends, and making informed decisions to optimize fundraising strategies.
Working knowledge of Raiser’s Edge and Engaging Networks. Ability to generate reports, and queries, build emails, and update supporter records as needed.
Strong problem-solving skills
Willingness to embrace challenges.
Skilled in fostering a collaborative environment, actively listening to input from others, and leveraging individual strengths to achieve collective success.
Skilled in expressing thanks and recognizing donor contributions are valuable.
Strong organizational skills.
Ability to manage multiple priorities, deadlines, and tasks effectively is crucial.
